Through the use of intelligent automation, the Andalusian region government (the Junta), has been able to save one million hours on repetitive tasks.
This increase in robotisation is possible due to the creation of intelligent automation units (UAIs) in 2022.
According to Andalusian Digital Agency (Ada), roboticisation allows administrative workers to concentrate on tasks with greater strategic value. It also streamlines public services, and improves the service provided to the populace.
The robotisation of public work has liberated workers from tasks that took a lot of time and effort. It has also helped to reduce errors and optimise the validation of data. By optimizing the working hours, robotisation also benefits residents who require direct attention.
The Junta saved 142.857 full working days (28.571 work weeks) through the use of robots, the equivalent to the work done by 650 civil service employees in a year. One million hours worked by robots resulted in a faster processing of four millions files.
The regional minister for energy, industry and mining Jorge Paradela stated that the “results achieved through the application of robotics reflect an exponential growth in the efficiency of administration”.
UAI has been processing files submitted by agricultural producers seeking aid. A robotic system, which automatically sorts and checks the documents, has helped the unit to make it easier to verify invoices and supporting materials.
A key application of robotisation involves the strengthening of the annual monitoring process of non-contributory retirement benefits. This ensures that the benefits continue to be available to those who meet eligibility criteria.
The intelligent automation unit uses a system to perform these checks automatically, regularly and using official data that is already available. This system is in strict compliance with the regulations on data protection and strictly adheres to them.
The Junta has also established a hyper-automation centre, which is a pioneering initiative in the Spanish public sector. Since its establishment, 113 projects for robotisation have been launched by 12 regional departments, 96 of which are currently active, and 17 already completed. The Junta is working to automate nine additional processes.
